You arrive at a hotel in China after a long train journey. The reservation is on your phone, but the front desk asks for your passport and cannot find the name exactly as it appears in its system. At this point, the useful question is not whether all Chinese hotels accept foreigners. It is which identity or booking detail does not match at this property, and how to correct it through a verified channel.

This guide is for Singapore-based visitors checking into a hotel in China. It covers original travel documents, the hotel's lodging registration, and a calm path through a desk mismatch. It also explains why a private apartment or friend's home follows a different registration route. The rules can change, and a local property can have operational constraints; confirm your own reservation and document requirements before arrival.

Confirm passport and booking identity details before arrival​

Carry the original valid passport or other accepted travel document for your China trip, and compare its name with the confirmed reservation. Check guest names, arrival date and room count before travelling. If a document changed after booking, contact the hotel and booking platform through verified channels.

Use the actual document, not a screenshot​

China's Hunan government visitor guidance says a foreign national can register hotel accommodation by presenting a valid passport or another international travel document at the front desk. This is a check-in identity step, not a request to post your passport on social media. Pack the original valid travel document where you can reach it when you arrive. A photo of its data page is useful as a private backup for contacting the property, but it may not satisfy the desk's requirement to inspect the actual document. Do not mail an original passport to a booking intermediary or leave it with an unverified messenger.

Before travel, check the name shown in your booking confirmation against the name in the passport you will present. Include middle names and the order of names when the booking form provides them. A system may display a shortened or rearranged name without being wrong, but the hotel must decide whether it can match the guest. Record the booking reference, property address in Chinese, dates, room type, guest count, payment status, and official property phone number. For a family, identify each guest's document and whether a child needs a separate booking entry. Do not assume that one adult's passport covers everyone on the room roster.

If you renewed your passport after booking, tell the property before arrival that the number or expiry has changed. Keep any older passport or entry-related document only if it is relevant and lawful to carry, and ask the property which record it needs. Do not invent a number that matches an old booking to make the form pass. If a visa, entry record or other authorisation is linked to a different document, consult the relevant official immigration instructions; an online article cannot adjudicate your personal entry status. Bring the actual document used on this trip and be ready to explain a change in a simple timeline.

Use the reservation confirmation from the original booking platform or property, not a cropped screenshot lacking the date and property name. Offline access matters if your phone has no mobile data at the station. Save the confirmation securely and write the hotel's name and address in Chinese. If you booked through an agent, ask for the hotel's own confirmation number as well as the agent's reference if possible. A payment receipt proves a transaction occurred, but it may not by itself prove the hotel's system has an active room reservation for your date.

Confirm arrival details before a difficult transfer​

Message or call the property through the contact information in its official listing or booking confirmation. State the reservation name, arrival date and approximate time. Ask whether the front desk is staffed when you expect to arrive, which documents each guest should present, whether the room charge is already paid or due on arrival, and which payment methods the property accepts. If you are arriving after midnight, explicitly ask which calendar day the reservation should begin. A room booked for the following night might not be available at 1 a.m. simply because your train arrives early.

If the listing or an agent gives conflicting advice about whether the property can check in a foreign passport holder, ask the property directly to confirm its current process for your document. China has moved to facilitate foreign travellers' accommodation. The Chinese central government's 2024 report on the multi-department accommodation circular says local authorities and online platforms should not restrict lodging operators from receiving foreign guests by qualification requirement. That policy does not guarantee an available room, a correct booking or acceptance of every document. It is a reason to seek a clear explanation, not to argue that a desk must bypass its identity checks.

A hostel, guesthouse, apartment and hotel may use different operational routes, so ask the operator exactly who performs lodging registration before committing to a late arrival. A cheap listing that offers no reachable reception contact is a poor choice when you need document assistance after a long journey.

Make a compact arrival note​

Keep one private note with the property's Chinese name, address, official phone, booking reference, reservation dates, guest names, check-in time, payment status and which document each traveller will present. Share only the details a companion needs to reach the property. Do not store passport scans and card numbers in a public group chat or on a shared map pin. If the agent or hotel asks for a document image before arrival, verify the request inside the booking platform or through the hotel's confirmed channel, ask what information is required, and use the platform's secure upload flow if one exists. A random chat account that claims to be the hotel is not a suitable destination for sensitive identity data.

The arrival note should also record a second nearby lodging option only as a contingency, not as a duplicate paid reservation. Check that the alternative has a staffed desk and room availability before travelling there. If a child or older companion is tired, decide where they can wait while one adult resolves the reservation. A ten-minute preparation step can prevent an argument in a queue, but it cannot replace an actual passport or a confirmed room.

Check property registration and arrival procedures​

Know who files the hotel record​

Article 39 of China's Exit and Entry Administration Law, as presented by the National Immigration Administration (NIA), says hotels register a foreign guest's accommodation and submit the information to local public security authorities. For an ordinary hotel stay, the front desk performs that lodging-registration step as part of check-in. You still need to provide truthful identity information and present the required document. Do not assume that you personally must travel to a police station within 24 hours after every hotel check-in; that instruction belongs to a different lodging situation.

The NIA's accommodation-registration guidance distinguishes hotel stays from non-hotel lodging. A traveller staying in a private home or other non-hotel accommodation, or the person hosting them, has a separate obligation to register with the local public security authority within 24 hours of check-in under the law. How that is completed can vary by location. Ask the host who is responsible and which local method is available; keep proof that it was done. Do not assume the owner filed it just because the booking platform collected your passport details.

In March 2026, the NIA described a pilot online registration route for non-hotel stays in specified provinces and municipalities. That is a limited pilot, not a nationwide instruction for every hotel guest to install an app. If you stay outside the listed areas or the service is unavailable, use the local public security guidance. The pilot can expand; check the current NIA or local authority page for your city rather than treating a 2026 list as permanent. The safest question for a private host is, “Which registration process applies at this address, and who will complete it after check-in?”

The Hainan government accommodation guide also explains that hotel staff handle hotel registration, while other stays may require action by the visitor or host. A listing might call itself a “guesthouse” but operate under a hotel registration system, or a short-term rental might be a private apartment. Its marketing label does not prove which process applies. Ask the operator and, if needed, the local authority. Keep separate the two questions: Can the property provide a room? and How will the stay be registered? A confirmed room without a clear registration route is still an operational problem to solve.

Allow realistic check-in time​

At the desk, present the original passport and booking confirmation. Staff may need to enter the guest's identity, match the reservation, confirm a payment or deposit, and explain property rules. A short wait while the receptionist verifies a foreign document is not automatically a refusal. Give the staff member the booking reference, then ask which field does not match if the lookup fails. A calm, specific request works better than repeating that you already paid. If your booking spans two rooms or has multiple guests, make sure the receptionist sees the whole reservation, not just the first named traveller.

China's local rules can be more detailed than a general travel guide. For example, Shanghai's hospitality-registration provisions describe local identity-check and data-submission procedures and accepted document categories. Those are Shanghai rules, not a universal list for every province. Use them to understand why a desk may ask for accurate document information, then follow the property's current procedure for its city. If the desk requests a copy or scan, ask how it is stored and use the property's official process; do not offer more personal data than is needed.

Check payment separately. A reservation that says “pay at property” may require a card or cash at check-in; a prepaid booking may still have incidentals or a local charge. Ask for an itemised amount and receipt. If the card used for a deposit is unavailable, speak to the property about alternatives before it attempts the charge. Do not have a stranger pay the hotel through an unknown QR code to “unlock” a registration record. If an agent and hotel disagree about payment, use the platform's official support channel so both sides can see the booking terms.

A hotel example, and a non-hotel contrast​

Suppose a Singapore family arrives at a Shanghai hotel with a confirmed two-room booking. The lead guest shows the booking email, and each traveller presents the requested original document. Staff match the names, confirm which rooms are prepaid and enter the stay into their system. The hotel handles the foreign-guest accommodation registration. The family does not add a separate police-station trip to a routine hotel check-in simply because a general article mentions a 24-hour rule.

Change the booking to a private apartment rented from an individual. The operator's listing may still collect passport details, but the non-hotel registration obligation needs an identified host or guest and a local procedure. Ask the host before paying or arriving how it will be handled, and verify that the available online or in-person route applies in that city. If the host says “nobody has to register,” seek current local official guidance rather than relying on a casual message. You can choose a hotel with a staffed check-in desk if the private-stay process is too uncertain for a short trip.

If the hotel says an extra guest exceeds the room policy, ask for the property's rule and available additional room or permitted upgrade. Registration records should describe the guests who really stay there; do not leave a child or companion off the record to avoid a fee.

Resolve a desk mismatch without sharing sensitive documents to strangers​

Ask what failed before changing anything​

If the reservation does not appear, ask staff to search by the property's reference, booking-platform reference, full passport name and arrival date. Confirm you are at the correct branch: similar hotel names in the same city are common. A late-night arrival can create a date mismatch; a third-party agent may not have passed a booking through. Do not immediately buy a second room or cancel the first until the hotel and platform have checked the references. If the property says the document itself is the obstacle, ask which data field or document category is involved, without asking staff to enter false information.

When the name differs, show the official reservation and original passport together. A change in transliteration or name order may be a display issue, but the hotel must verify the identity match. Ask the booking platform to update the guest name through its authorised procedure if necessary. If the wrong person was named as lead guest, the platform or property can explain whether a transfer is allowed. Do not borrow a companion's passport to pretend they are the booked guest. If a passport was renewed after purchase, tell staff the timeline and ask what supporting document, if any, their policy and local rules accept.

If staff say the property cannot host foreign guests, ask for the specific operational or legal reason and whether a supervisor can confirm it. China's 2024 accommodation facilitation notice sought to remove blanket qualification restrictions on operators receiving foreign guests. That does not entitle you to a room that is full, unlicensed, unavailable due to a booking error or unable to process your actual document at that moment. Document the explanation and ask the booking service for assistance, refund or an alternate property under the contract. If the problem appears to be a misunderstanding of local registration procedure, seek local official or platform support rather than escalating a heated confrontation at the desk.

Use the hotel's published number or the original platform's in-app chat. If you receive a message from a new contact asking for a passport image, bank-card number or deposit to “release” the reservation, verify it independently with the hotel. Never send a full passport scan and card security code to an unfamiliar chat account. A concierge or platform adviser can help translate a booking reference without needing your online-banking password. If a genuine hotel needs document information, ask for its official intake route and share only what the check-in process requires.

Protect the night if the room cannot be confirmed​

Set a practical decision point. If the property cannot find the booking after a reasonable check and support will not resolve it soon, ask the platform to place you in a confirmed alternative or explain its reimbursement process. Before travelling to a second property, call it directly to confirm room availability, foreign-document check-in, arrival time and payment method. Keep the first property's written explanation or case number for the booking dispute. Do not walk a tired family across a city to an unverified listing because an agent sent a map pin.

If you are at a station rather than the hotel, find a safe waiting area while contacting support. Keep passports and luggage with their owners. A traveller who cannot check in because the passport is genuinely lost has a separate document-recovery problem; contact the relevant authorities and embassy rather than improvising a false identity at the desk. A card that fails to pay is a separate payment problem. Naming the actual mismatch keeps the remedy targeted: identity correction, reservation lookup, payment alternative, or different accommodation.

Do not promise yourself compensation merely because the night was stressful. The outcome depends on the booking terms, reason for failure and evidence. Save the reservation confirmation, official chat history, hotel explanation, receipts for substitute lodging and transport, and a timeline of calls. Ask the platform for its formal complaint route if the hotel and agent disagree. A policy circular can help frame a question about blanket foreign-guest refusal, but it does not decide a private refund or replace a valid travel document.

The successful check-in is straightforward: the property has the right reservation, the right people present valid documents, payment is understood, and lodging registration is handled by the party responsible for that type of stay. If one step fails, resolve that specific step through the hotel, platform or relevant local official channel. Keep your passport private and your explanation factual; a calm, documented alternative is more useful than a dramatic argument at midnight.
